Who is Candid Care Co.?
Candid Care Co. is the company behind CandidPro, a clear aligner system built for general dentists and orthodontists. The company serves dental and orthodontic practices, offering its aligner technology, thoughtfully designed treatment protocols, US-based licensed orthodontists who review treatment plans, remote monitoring, and provider education through its Candid Academy.
The product line includes comprehensive and limited aligner treatments along with retainers. Behind that offering, Candid Care Co runs a distributed team, with quality and operations staff in the United States, Costa Rica, and Mexico, and manages its quality system under the Medical Device Single Audit Program (MDSAP).
The challenge: difficult training management and change control
Jim Churchill, VP of Quality and Regulatory, Candid Care Co., has spent more than 30 years in medical device quality, and one problem followed him from company to company. Training compliance was the hardest metric to hit, and in his experience it was the finding auditors raised most often. Teams spread across regions, sales staff on the road, and manual sign-off forms made a 95 percent on-time target hard to reach.
Change control presented another problem. Before Candid moved its processes onto an electronic system, approvals meant paper folders passed from person to person for signatures. With approvers in Costa Rica, Mexico, and Europe, collecting sign-offs on a manufacturing timeline was slow and impractical.

The solution: an eQMS from Greenlight Guru
Over seven years, Candid Care Co. expanded how much of its quality system runs in Greenlight Guru as the platform matured. Today, the company uses Greenlight Guru to organize its document control, change management, CAPA, and training processes in one system.
Assignments, completions, and revision-linked retraining now happen in one place, and automated reminders reach employees before and after a due date, wherever they are working. This keeps training compliant without requiring the quality team to manually track each employee or chase down overdue certificates.

Change orders moved from paper to electronic sign-off. Approvers across countries now review and approve changes without ever having to hand off a folder, which keeps manufacturing moving. Document control ties into the same flow, so revision history and the training attached to each revision are easy to show. When a controlled document is revised, everyone who needs to retrain on it is assigned automatically, so the record of who was trained on which version stays current instead of being pieced together the next time an auditor asks.
The results: 99% training compliance and simplified change orders
Sustained compliance across a global team
After rolling out the Greenlight Guru training module, Candid Care Co. reached its on-time training target and, according to Jim, has held about 99 percent compliance in the two-plus years since. For a workforce split across offices, field roles, and several countries, ease of use is what made the number reachable. Employees can log in and complete training from anywhere, and the reminders do the chasing that used to fall to the quality team. Because training is the area quality teams most often get flagged on in audits, holding that number steady removes one of the most common sources of findings before an auditor arrives.

Faster sign-off across a distributed team
Electronic change orders replaced paper routing, so approvals from across the US, Costa Rica, and Mexico move on a manufacturing timeline instead of at the pace of a folder handed desk to desk. For any change that has to clear before the next production step, that speed keeps a build on schedule instead of pausing it while a signature travels between countries.
Audit walkthroughs that hold up
Jim uses the CAPA workflow to walk auditors through how Candid addressed a given nonconformance, and he describes those walkthroughs as consistently impressive to auditors, some of whom had not seen Greenlight Guru before. In his account, the system shows well in an audit, and the processes Candid built on it have drawn positive comments. Because each CAPA keeps the full history in one place, from the original nonconformance through the actions taken to the check that the fix held, Jim can open any record mid-audit and show a complete trail on the spot rather than assembling evidence after the auditor asks.

Why Candid Care Co. stays with Greenlight Guru
For a small quality team running a distributed, multi-country operation, the value is in how little the system asks of them day to day. Training assignments, change approvals, CAPAs, and document control all live in one place, so compliance keeps moving in the background and audit prep stays routine. Seven years in, Candid Care Co. runs more of its quality system on Greenlight Guru than when it started, because a lean team can keep the company audit-ready without adding overhead as it grows.
