
Who is Solvita?
Solvita is an independent, not-for-profit tissue center serving donor families, medical communities, recipients, and organ procurement organizations through the recovery, processing, and distribution of tissue grafts.
Solvita’s grafts support procedures ranging from burn care to dental and sports medicine, including skin grafts for patients with third and fourth degree burns. The organization processes more than 10,000 donors a year and labels its products sterile, which places it under strict regulatory and accreditation requirements for how it documents and controls quality.
The challenge: quality data trapped in spreadsheets and silos
Tracy Ross, Director of Quality and Regulatory Affairs at Solvita, has been with the organization for 22 years. For most of that time, the team ran its quality system on paper and spreadsheets, combing through them by hand once a month to look for trends.

That left quality data exposed to entry errors and accidental changes. It also created silos: a nonconformance in one set, customer feedback in another, an audit finding in a third, each looking like an isolated event even when they needed to tell a connected story.
Training scope compounded the problem. The old system listed who fell under each document at the very end of that document, and the list went stale whenever a job title or department changed. Before every audit, the team had to rebuild those connections by hand.
Solvita had evaluated eQMS software once before, around 2018, and walked away from the process without choosing a system. The team then spent several years mapping how it wanted quality to run before returning to the market.

So, for example, a refrigerator temperature excursion that shows up once a month, then every two weeks, then weekly, reads as a pattern to act on rather than a series of separate nonconformances. Over time, Solvita plans to connect its nonconformance, customer feedback, supplier quality, and audit data, including across the outside contractors it relies on and its sterilization partners, so a small signal in each can be read together as one picture.
Terris Weist, a data analyst by trade, built the first integration himself and had the initial report running in about a week.
